Many people download a note-taking app, write a few things and then never find them again. The tool matters less than the system you build around it.

Keep one inbox

Capture everything in a single place first: ideas, links, tasks, quotes. Do not worry about organizing at the moment of writing. Capturing quickly is the priority.

Review weekly

Once a week, go through the inbox. Delete what is useless, move useful notes to the right folder, and turn action items into tasks.

Use a simple structure

  • Projects: things with a goal and an end.
  • Areas: ongoing responsibilities such as health or finances.
  • Resources: topics you want to learn about.
  • Archive: finished material.

Write for your future self

Give notes clear titles, add the date and a sentence about why you saved something. A note called Idea is useless in six months.

Use search and tags carefully

Search is powerful, so you rarely need dozens of tags. Choose a few consistent ones.

Choose a tool

Look for sync across devices, fast search, export options and good privacy. Avoid locking your notes into a format you cannot take elsewhere.

Back them up

Export your notes now and then. Notes are only helpful if you can find them and keep them.
